How far ahead should I book a character appearance? As soon as possible! Some events book 4 to 6 months in advance to make sure they get the dates they want. There are a limited number of characters available so the sooner you lock in an appearance the better. Also, you should book far enough ahead so you can begin using the promotional materials with about 8 weeks to go. That said, we try to be flexible and will do our best to accommodate appearance requests that come in just weeks before an event.
For the Meet & Greet Package, what are "Talent Travel Expenses"? In addition to the appearance fee and the cost of shipping, Meet & Greet customers are responsible for the travel expenses of the costume performer and escort. We have a network of talent across the country and will do our best to book talent located within driving distance. In that case, travel expenses will be limited to mileage and per diem. However, it often happens that talent needs to travel by air to the event. Typically, we'll book the flight to arrive the day before the appearance and depart afterwards. Expenses would include round-trip airfare, ground transportation, lodging and a per diem per person. We do our best to keep costs as low as possible. Be sure to tell us if your company has any discount programs available for lodging.
For the Meet & Greet Package, what are "Shipping Expenses"? In addition to the appearance fee and travel expenses, Meet & Greet customers are responsible for the cost of shipping the costume or costumes. We will provide you with a quote once we have all the pertinent information.
For the Game Day Packages, what is the "Talent Lodging Expense"? For Game Day customers, shipping and talent travel expenses are included in the package price, except for talent lodging. Since most sports teams have deep discount programs with local hotels, we have found it to be in everyone's best interest to have the host team book lodging for the talent. Three performers travel with the Game Day Packages and require one night of lodging.
What promotional materials will you provide? We provide customizable templates for color posters, a press release, radio spot and ad slicks. We'll send you the materials over the Internet. Any other promotional materials featuring the characters or character names must be approved in advance by Warner Bros.
For the Game Day Package, what happens if we get rained out? If a game is cancelled due to weather, we'll work with you to reschedule with as little additional expense as possible. If it is impossible to reschedule the appearance, a portion of your fee will be refunded, depending on expenses incurred.
Do you take the photos at the event? Can I charge for photos with the characters? Most fans will have their own camera. If you want to have a photographer available, you would need to provide that person. However, photographs must be free of charge.
What territory restrictions exist? All characters are licensed through Scollon Live Events for appearances in the United States only. In addition, LOONEY TUNES and SCOOBY-DOO characters may not appear within a 100 mile radius of a Six Flags Theme Park. Please contact us to determine your proximity. Can I have a sponsor for my event? Of course! However, please understand that our characters may not and will not interact with sponsor products or services; pose for photos where the sponsor logo is visible; or be involved in any activity that implies a relationship between the sponsor, Warner Bros. or Scollon Live Events. For example, characters are not allowed to pass out product samples, wear hats or other items marked with sponsor logos, or act as clerks in a retail outlet.
Will characters appear at events that charge admission? Yes, as long as there is no admission charge, or additional charge, for attendees to access the characters.
What is the payment schedule for an appearance? Fifty percent of the total final quote is due upon signing the appearance agreement. The balance is due one week before the costume shipping date. Costumes will not be shipped until the final payment is received.
Why does Warner Bros. have to approve my event? The characters in the Scollon Live Events program are some of the most popular characters in the world and are among the most prime assets of Warner Bros. It is essential that any character appearance respect and uphold the quality of the characters. Warner Bros. reviews every appearance request to ensure that the venue and proposed use is appropriate for the character and the brand.
Do you rent costumes? Generally speaking, no. However exceptions can be made for organizations that have trained mascot talent on staff or regularly use trained mascot talent for their events. The organization must also provide an escort. Other conditions apply. Please contact us for more details.
Why do I have to pay for a character escort? Can't I lead them around? Our personnel are trained as both performers and escorts to provide backup should it be needed. Escort duties go beyond character assistance and include customer service, crowd control and event management.
What are some of the things the characters are not allowed to do? Costume characters do not speak and may not sign autographs. They may not interact with or pose for photographs with any product, especially tobacco or alcohol, or any sponsor logo. They may not endorse, or be made to look as if they endorse, any product or service. Character talent and escorts have the responsibility and authority to stop any activity that is judged to be inappropriate. Characters may not appear simultaneously with other costume characters (unless provided by Scollon Live Events).
Are the characters available for private parties? In many cases, the Meet & Greet package is available for private parties. We can't say for sure until your request is submitted to Warner Bros. for approval.
